QR Code Table Tents

QR Codes Turn Table Tents into Digital Access Points

Table tents from FolderWorks™ have always worked well for quick, visible messaging. Adding a QR code extends their value by connecting a printed message to deeper, updatable information. QR code table tents can outlast a single promotion. It can open a summer happy hour menu today and be redirected to a holiday event or seasonal special tomorrow. Here’s how businesses across five industries are putting QR code table tents to work.

Why add a QR Code to a Table Tent?

A table tent commands attention in a high-visibility spot. A QR code adds immediate access to expanded content without adding visual clutter and links to digital content that can be updated without reprinting.

  • Reduce the need for multiple printed materials

  • Update menus, schedules, or resources instantly

  • Give customers faster access to forms, services, or information

  • Keep shared spaces organized and easy to navigate

Guests can scan to link to a hub containing full menus, room service options, spa services, or local recommendations. The printed table tent stays simple while the linked content updates as needed.

Event and conference schedules

Placed in lobbies, lounges, or meeting rooms, table tents with QR codes can link to daily activity calendars, session schedules, or venue maps.

Reservations and service requests

QR codes connect to reservation forms for dining, cabanas, or wellness services —  or housekeeping and maintenance request pages.

Healthcare: Streamline the Patient Process

Patient intake and check-in forms

Educational resources

QR codes provide care instructions, medication details, or post-visit reminders —  supporting clear follow-up steps without additional handouts.

Facility navigation and contact directories

Hospitals can link maps, department directories, or parking information to help visitors find their way more easily.

Classroom and course materials

Students scan for assignments, digital textbooks, or study guides —  everything they need in one place.

Campus support services

Links to counseling, tutoring, or financial aid resources help direct students to support without adding printed materials.

Retail: More Product Information in Less Space

Product details and pricing

Shoppers access specifications, size guides, or full catalogs —  especially useful for products with multiple variations or frequent price updates.

Loyalty programs or promotions

QR codes connect to enrollment pages, coupons, or seasonal offers, encouraging repeat visits without crowding the display.

A Simple Upgrade with Broad Impact

Table tents already serve as a reliable point of communication. Adding a QR code turns them into a flexible access point for digital content, keeping printed messaging clean while expanding the information that can be shared. It’s a practical choice for any environment where information changes often.

Frequently Asked Questions

How large should a QR code be on a table tent?

A 1 “ x 1” size QR code will scan reliably —  but for a table tent, FolderWork recommends at least 2” x 2” to ensure easy scanning from 12-18 inches away.

Can I print my QR with my brand color?

Dark patterns on a light background scan most reliably. Standard black on white is always a safe choice, but branded colors can work as long as there’s a strong contrast between the code and the background color. Avoid color combinations where the pattern and background are close in tone.

What is the “quiet zone” on a QR code and why does it matter?

The quiet zone is the clear, empty margin that surrounds the outer edge of a QR code. Scanners use it to locate the code before reading it. Without an adequate margin, a scanner may not recognize where the design ends and the code begins. Most QR code generators build in a quiet zone by default, but it’s worth double-checking to make sure no text or graphics are crowding the border before sending files to print.

Does FolderWorks manage the QR code on my table tent?

FolderWorks specializes in producing high-quality printed table tents. You set up the QR code and provide the QR code artwork as part of your print-ready file and we’ll reproduce it accurately on your finished piece. A number of third-party QR management platforms are available to help you set up dynamic QR codes that allow destination URL updates on your end.

What is the difference between static and dynamic QR codes?

A static QR code is permanently linked to a single destination. Once it’s printed, the URL it points to can never be changed, making a solid choice for a website homepage or contact page, where you can update the information as needed.

A dynamic QR code, by contrast, lets you update the destination URL at any time without touching the printed piece. This makes it a good fit for table tents used in active marketing environments. The same printed table tent can link to a spring promotion one month, a summer event the next, and a back-to-school special after that —  all without a reprint.

Over the life of a well-designed table tent, that flexibility can support dozens of campaigns, turning a single print investment into a long-term marketing asset.
